Managing On-Site Visit Handover Notes in IT Support | 4KM Tech

An on-site technician often sees details that are difficult to capture remotely: which device was physically connected, what was moved, who demonstrated the fault and what remained unresolved when the visit ended. Good handover notes turn that temporary context into a useful support record for the rest of the team.

Link the visit to the correct support record

Record the on-site work against the relevant ticket, job or client record rather than leaving it in a personal notebook. This gives remote staff a clear place to find the visit history when the next contact arrives.

Identify the equipment actually worked on

Use the provider's normal device or asset identifiers where available. Descriptions such as “the laptop in reception” may be understandable during the visit but become ambiguous when equipment moves or another technician attends later.

Record the observed fault before the changes

Note what the technician confirmed on site and distinguish that from the user's original report. This helps future support staff understand whether the reported symptom was reproduced and what conditions were present.

Document material technical actions

Capture relevant configuration changes, component replacements or other work through the approved service process. Avoid filling the record with every routine click, but include enough detail for another technician to understand what changed.

Keep credentials out of ordinary visit notes

If access information is required for ongoing support, use the provider's approved secure credential process. Ticket notes and visit summaries should not become a convenient place to store passwords discovered or supplied on site.

State what remains unresolved

If the visit ends with further investigation, parts, approval or remote work outstanding, make that explicit. A completed site appointment is not necessarily a resolved technical ticket.

Record relevant client handover information

Note what was explained to the authorised client contact about the current support outcome and next step. Keep the entry factual and avoid unnecessary comments about individual users or workplace circumstances.

Make the next owner clear

Where follow-up is required, route it to the appropriate queue or role through the normal workflow. Good notes lose much of their value if the outstanding action has no visible owner after the technician leaves the site.
