A temporary laptop or other loan device can keep a user working while their normal equipment is repaired or replaced. For a small IT support provider, however, the loan creates an extra asset, configuration and return process that can easily become informal. A clear handover helps the provider and client understand what has been issued and what happens next.
Identify the loan device accurately
Link the temporary equipment to the provider's or client's relevant asset record before handover. The record should distinguish the actual device from similar stock so technicians can support and recover the correct item later.
Record who is receiving it and why
Connect the loan to the current support ticket, user or authorised client contact according to the service arrangement. Avoid relying on a verbal note that a device has “gone to the client” without enough context to trace its operational purpose.
Prepare only the access the user needs
Configure the device through the provider's approved process and follow the client's authorised access requirements. A temporary device should not automatically inherit broad permissions simply because it may be returned soon.
Keep credentials out of informal handover notes
Where activation or sign-in information must be provided, use the MSP or IT support firm's established secure method. Asset labels, packaging and ordinary ticket comments should not become a convenient place to expose passwords.
Explain the temporary nature of the arrangement
Make clear that the device is a loan and connect its expected return to the relevant support outcome or client process. Avoid promising an exact return date when the underlying repair or replacement timeline is still uncertain.
Track accessories issued with the device
If a charger, adapter or other accessory accompanies the loan, include it in the handover record. This reduces uncertainty when the equipment returns and helps prevent parts of the temporary kit remaining unaccounted for.
Update the record when circumstances change
A repair may take longer, the user may change location or the client may authorise a different solution. Keep the loan record aligned with the current situation rather than leaving the original handover note as the only source of information.
Close the loan when equipment returns
Follow the provider's normal return, inspection and data-handling procedures before making the device available for another assignment. Update the asset and ticket records so staff can see that responsibility has ended and the equipment's current state is known.
