A company mobile returned during offboarding is more than a piece of hardware coming back into stock. It may still be enrolled in device management, linked to business accounts, contain locally stored data or carry a SIM and number that the organisation intends to retain. A small IT support team needs to coordinate custody, identity and device-state decisions so the handset does not simply move from one desk to another with the previous user's context still attached.

Record physical custody at the return point

Identify the device through the recognised asset information and record that it has been received. Note relevant condition through the normal asset process. Avoid relying on a loose handset in a drawer as evidence that an offboarding return is complete.

Keep the device return linked to the user offboarding

The physical return does not prove that accounts, sessions or access have been handled. Confirm that the device is associated with the correct offboarding case and that identity actions are being completed through the client's established leaver process.

Follow the client's approved device-management and data-handling process before wiping, resetting or reassigning the handset. If business information needs to be retained, use the supported preservation route rather than manually browsing and copying user content without a defined requirement.

Check management and activation state

Before the device is issued again, confirm that its management, account and activation state is appropriate for the next lifecycle stage. A factory reset alone may not resolve every organisational enrolment or account association, while removing management too early may weaken the controlled wipe or return process.

Remove accessories and condition ambiguity

Where the asset process tracks chargers, cases or other issued items, reconcile them separately from the handset. Record damage or missing items as facts for the relevant business owner rather than asking IT support to make an improvised financial or HR judgement.

Prepare the device for its next state

A returned phone may go into spare stock, repair, recycling or immediate reassignment. Each route needs a clear status so another technician does not pick up a device that is still waiting for wipe, inspection or account release.

Close custody only after the technical state is clear

Update the asset and support records when the device has reached its approved next state.
