The operations team needs a controlled way to assess the gap without making repeated manual adjustments that create a second problem.
Identify which system holds the operational stock record
Teams should know which platform or process is treated as the authoritative inventory position for normal operations. Without that understanding, staff may correct one channel using figures from another system that is itself delayed.
Confirm that the difference is a sync issue
Compare the relevant product and recent stock movements before assuming an integration failure. Returns, cancellations, warehouse adjustments or unprocessed orders can also explain differences. Establish the likely source of the mismatch before intervening.
Define the affected products and channels
Determine whether the delay concerns one item, a group of products or a wider channel connection. A narrow issue calls for a different operational response from a full inventory feed interruption. Avoid disabling or editing unaffected listings without evidence.
Protect high-risk availability while investigating
Where the business's established process allows it, consider appropriate temporary controls for products whose available quantity is uncertain. The objective is to avoid accepting commitments the operation cannot fulfil while preserving normal sales where stock information remains reliable.
Avoid repeated manual stock corrections
Multiple people adjusting the same quantity in different systems can make reconciliation harder when automated synchronisation resumes. If a manual intervention is necessary, record what changed, where and why so it can be compared with subsequent system updates.
Keep customer service aware of genuine order impact
If the stock discrepancy has affected accepted orders, give the customer-facing team factual information about the relevant items and current operational status. Do not turn a suspected integration delay into a broad customer message before its impact is understood.
Reconcile after synchronisation resumes
Once updates are moving again, compare the authoritative inventory position with affected channels and review manual changes made during the incident. Recovery is not complete merely because the integration appears active; outstanding mismatches still need to be resolved through the business's normal process.
Improve visibility of future delays
Review how the team discovered the issue and whether existing platform alerts, inventory reports or routine reconciliation can expose similar gaps sooner. Useful monitoring should make material failures visible without generating so many alerts that staff stop paying attention.
